The work of a medical office coordinator is to oversee the front office duties and handle clerical tasks.

People working in this role are required to make sure that correct patient information is derived and stored correctly, and appointments are scheduled effectively.

They direct staff to ensure that the operations of a medical office or a clinic run smoothly and that no hitches are evident.

Answering telephones, filing information, directing the activities of clerical staff, and handling employee time sheets are just some of the duties that medical office coordinators perform in a day.

Position Requirements

To work as a medical office coordinator, one needs to possess a high school diploma at the very least and have a penchant for administrative work.

• Coordinate the multi-faceted operations of a medical office

• Schedule surgeries and complete associated paperwork

• Prepare surgical files, obtain insurance information and ensure that all needed x-rays are available

• Handle coordination activities related to diagnostic information

• Ensure that patient information is obtained correctly and filed properly

• Assist patients and their families by providing them with procedural and diagnostic information

• Schedule patients for appointments and tests and ensure that follow up calls are made on time

• Oversee patient preparation procedures for surgery or examination

• Take telephone calls and provide callers with information on specific services of the medical office

• Schedule appointments between patients and physicians

• Develop appropriate guidelines for staff so that they can prioritize work activities

• Evaluate the effectiveness of work activities

• Provide direction on collecting patient co-pays or deductibles

• Maintain records of medical staff and review credentials of new and existing staff members

• Take and maintain minutes of staff meetings

• Prepare appropriate budgets and develop medical staff objectives

• Obtain and keep patient insurance information or financial background for self payable services

• Ensure that the medical office is clean and maintained at all times and meets hygiene standards

• Assist in hiring and training staff to perform different roles in a medical office
