A Doctor Office Secretary is responsible for assisting the doctor in medical procedures, scheduling appointments, maintaining the reception and waiting area, and sometimes processing bills.

One day, the director had assigned me the task of file cataloging. I was also handling the front desk when I received a call from a consultant that he’ll be late. I prioritized the tasks, managed front desk while making calls to clients who had appointments, and once the newer tasks were done I set myself to the cataloging again since it could wait.

Which related software are you familiar with?

In addition to being familiar with basic computer programs including MS Office Suite, I’m expert in FreeMED, OpenEMR, and ZEPRS.

Do you have any experience in coding and billing?

I am well versed in maintaining patient data and records using formal coding systems to ensure confidentiality, and I offer three years of experience in issuing bills based on coded invoices.

If you receive a call that a consultant with a full appointment schedule cannot come to the clinic, what actions do you carry out?

My first reaction would be to adjust the consultant’s appointments and inform the scheduled patients regarding the change. Next, I’d see if the backup consultant can fill in. I will then call the patients to ask if they want to see the replacement and reschedule accordingly.
